Estates and facilities software for healthcare buildings Critical plant, continuous occupancy, vulnerable occupants and an evidence standard set by people who will ask to see the record rather than take your word for it.
Healthcare estates run plant that clinical services depend on, in buildings that cannot be closed, for occupants who are more vulnerable to the consequences of a failure than the general population. The compliance burden is heavier, the tolerance for a lapse is lower, and the documentation standard is set by inspection rather than by habit.
What actually goes wrong
Criticality is clinical, not just operational
The consequence of a failure is measured in patient impact, which changes what can be allowed to slip in a bad week.
Water systems carry heightened risk
Water hygiene in a healthcare setting sits under a stricter regime than a commercial office, and the record keeping is inspected rather than assumed.
Evidence is examined, not sampled
An inspection that asks for the maintenance history of a named asset needs an answer in full, not a summary report.
Record criticality where it changes a decision
Criticality held on the asset carries into the maintenance schedule and the work order queue, which is the only place it does any good. A criticality rating that lives in a risk register nobody opens during a busy week is not a control.
- Criticality recorded against the asset and carried into scheduling
- Statutory routines distinguished from discretionary servicing
- Findings from an inspection raised as work orders with the link intact
Hold the full history of a named asset
Service and inspection history kept on the asset — rather than in a chronological file of visits — is what makes an asset-level question answerable. That is the question an inspector, an insurer and a serious incident review all ask, and it is the one a date-ordered job log answers badly.
Be clear about what the software is not
FacilityOptix is a maintenance and compliance record system. It does not encode HTM guidance, advise on which healthcare-specific standards apply to your estate, or integrate with clinical or BMS systems. Those determinations belong to your authorising engineers and competent persons; what this does is hold the regime they specify and evidence that it ran.
Questions from healthcare estates
- Does it cover HTM requirements?
- Not as embedded content. FacilityOptix does not encode HTM guidance or tell you which parts apply to your estate. It holds, schedules and evidences the regime your authorising engineers specify.
- Can we evidence the full history of one item of plant?
- Yes. Service and inspection history is held against the asset rather than in a chronological visit log, so an asset-level question has an asset-level answer.
- Does it integrate with our BMS?
- No. There is no BMS integration or live plant telemetry — readings are captured by the person attending. If live telemetry is a requirement, this is the wrong tool and it is better to know now.
Statutory compliance
The checks a duty holder is legally expected to run, scheduled against the assets they apply to, with the certificate that evidences each one filed where an auditor can find it.
Planned maintenance
PPM schedules that survive a busy week — recurring work planned against the asset, what is slipping visible before it lapses, and evidence captured at the point the job is closed.
Reporting & dashboards
What is due, what has lapsed and what has been done, across the whole estate — built from the records engineers already entered, with nothing re-keyed for the report.
Legionella control and ACOP L8 record keeping
Water hygiene is the duty most often carried out properly and evidenced badly. What ACOP L8 expects, how often to review the assessment, and which records actually matter.
Building a PPM schedule that covers your statutory duties
Most teams do not lack a PPM schedule. They lack one that gets finished, and one that can be shown to cover the duties they actually hold. Here is how to build both at once.

A live demo on your data, not a slide deck — most teams are live within a week.
