Facilities management reporting and compliance dashboards What is due, what has lapsed and what has been done, across the whole estate — built from the records engineers already entered, with nothing re-keyed for the report.
Modules: Compliance Reporting
A report nobody re-keys is a report you can trust
The monthly pack assembled by hand from four spreadsheets has two problems, and the hours it costs is the smaller one. The larger is that it is a snapshot of what somebody copied, on the day they copied it, and it cannot be checked against anything. Reporting drawn directly from the operational records is the same data the team works from, which means a number in the pack can be clicked through to the job behind it.
- Maintenance and inspection status rolled up across every building
- Filter by building, asset type or contractor in seconds
- Built from records already entered — nothing re-typed for the pack
Senior management asks three questions
Are we compliant, where are we exposed, and is it getting better or worse. Most FM reporting answers the first badly and the other two not at all, because it reports activity — jobs closed, visits made — rather than position. A report that leads with what has lapsed and what is about to is shorter, less flattering and considerably more useful.
- Position first: what is overdue and what is approaching its date
- Exposure by building, so the conversation can be about the worst three
- Trend across periods, rather than a single month in isolation
The insurer and the auditor want different cuts
An insurer after an incident wants the history of one asset, in full. An auditor wants coverage across a duty. A client wants their own buildings and nobody else's. These are the same records filtered three ways, which is only possible if the underlying data was captured against buildings and assets rather than assembled into a report in the first place.
What it gets you
The pack takes minutes
Reporting stops being a monthly project and becomes a filter applied to records that were already there.
Numbers are traceable
Every figure leads back to the jobs behind it, which is what makes a report survive being questioned.
Exposure is stated, not buried
The useful report is the one that says where you are not covered, on the first page.
- No custom report builder or BI-style ad hoc query designer
- No scheduled automated distribution to external stakeholder lists
- No benchmarking against other organisations' data
The full version of this, module by module, is on the service specification.
Questions about reporting & dashboards
- Can we export the data?
- Yes, at any time while the licence is active — asset registers, PPM history, statutory certificates and their evidence. Export produces a complete copy rather than a summary, because certificates carry retention periods you remain responsible for.
- Can a client see only their own buildings?
- Yes. Visibility is role-based and scoped to buildings, which is what makes this workable for managing agents and service providers reporting to several clients at once.
- Is there a custom report builder?
- No. Reporting is filtered views over the operational records rather than a query designer. If you need arbitrary custom reporting, export and build it in your own tooling.
Statutory compliance
The checks a duty holder is legally expected to run, scheduled against the assets they apply to, with the certificate that evidences each one filed where an auditor can find it.
Buildings & assets
Every building you look after, every asset inside it, and the service history attached to the asset rather than filed in a folder someone has to remember the name of.
All features
The six capabilities, and the one record underneath all of them.
Pricing
One licence per company, priced on properties rather than users. Every module included.
Managing agents
Several clients, several portfolios, one team — and a reporting obligation to each of them that has to be met from the same records.
FM service providers
You are measured on response times you have to be able to prove, across sites you do not control, by clients who can put the contract back out to tender.
Healthcare estates
Critical plant, continuous occupancy, vulnerable occupants and an evidence standard set by people who will ask to see the record rather than take your word for it.
Education estates
A multi-site estate, a small team, a compliance burden that does not scale with the budget, and governors who are entitled to assurance you can evidence.
Retail portfolios
A retail estate is the opposite shape to a hospital: many small sites rather than a few complex ones, and nobody technical at any of them.
The statutory compliance calendar for commercial buildings
A working checklist of the recurring statutory duties a commercial building typically carries, what drives each frequency, and the evidence that proves each one ran.
Building an asset register that's actually useful
Every failure downstream — missed PPM, false compliance reporting, unanswerable audit questions — traces back to the register. Here is how to build one that gets finished.
