Asset management software for facilities teams Every building you look after, every asset inside it, and the service history attached to the asset rather than filed in a folder someone has to remember the name of.
Modules: Buildings · Assets
The register is the foundation, not a feature
Nearly every failure downstream of this page traces back to a register that does not match the building. A planned maintenance schedule built against assets decommissioned two years ago is fiction. A compliance report showing a building fully covered is worthless if three items of plant were never entered. FacilityOptix treats the register as the primary record, and everything else — schedules, jobs, certificates, reports — as things that point at it.
- Building profile, client, occupancy and responsible manager in one place
- Asset record with location, make, model, serial number and install date
- Criticality recorded against the asset, so the plant that matters is obvious
- Service and inspection history held on the asset, not in a shared drive
One estate view, and one building view
A manager running forty sites and an engineer covering three need different things from the same data. The estate view answers what is due and what has lapsed across the portfolio; the building view answers what has happened here, in date order, since the day you took it on. Both read the same records, so there is nothing to reconcile.
- Switch between a whole-estate roll-up and a single building's full history
- Role-based visibility, so engineers see the buildings they actually cover
- Asset history survives a change of contractor, manager or managing agent
Built to be populated, not admired
The register that never gets finished is the one that demanded forty fields per asset on day one. Start with what identifies the asset and what it obliges you to do — location, type, criticality — and let the detail accumulate as engineers attend. A register at eighty per cent that is actually in use beats a perfect specification nobody has filled in.
What it gets you
Nothing is off-register
Plant that was never entered cannot be scheduled, inspected or reported on. Getting the register right is the highest-leverage thing a facilities team can do.
History follows the asset
When a chiller is questioned three years later, the answer is on the asset record — not in an inbox belonging to someone who has left.
Criticality is visible
When a week goes badly and something has to slip, the record says which items cannot.
- No space planning or CAD — FacilityOptix records assets and work against buildings, it does not draw floor plans
- No BMS integration or live plant telemetry; readings are captured by the person attending, not from the plant itself
- No finance, purchase orders or contractor invoicing
The full version of this, module by module, is on the service specification.
Questions about buildings & assets
- Can we import an existing asset register?
- Yes. Most teams arrive with a spreadsheet, and onboarding is a structured import rather than re-keying. The work is usually in deciding what the columns actually mean, not in the upload.
- Is there a limit on assets?
- No. The licence is priced on properties — the buildings you hold records against — with unlimited users, assets, job records and storage inside them.
- What happens to the history if a building leaves the portfolio?
- It stays on the record and remains exportable. Compliance certificates carry retention periods that outlast a contract, so records are not discarded when a site is handed over.
Planned maintenance
PPM schedules that survive a busy week — recurring work planned against the asset, what is slipping visible before it lapses, and evidence captured at the point the job is closed.
Statutory compliance
The checks a duty holder is legally expected to run, scheduled against the assets they apply to, with the certificate that evidences each one filed where an auditor can find it.
All features
The six capabilities, and the one record underneath all of them.
Pricing
One licence per company, priced on properties rather than users. Every module included.
In-house FM teams
You run the estate, you hold the duty, and there is nobody to hand the records to. A system that costs less time than it saves is the only kind worth having.
Managing agents
Several clients, several portfolios, one team — and a reporting obligation to each of them that has to be met from the same records.
Education estates
A multi-site estate, a small team, a compliance burden that does not scale with the budget, and governors who are entitled to assurance you can evidence.
Commercial offices
An office building is judged by its occupants continuously, and the work is funded by a service charge they can question. Both of those need a record behind them.
Building an asset register that's actually useful
Every failure downstream — missed PPM, false compliance reporting, unanswerable audit questions — traces back to the register. Here is how to build one that gets finished.
Building a PPM schedule that covers your statutory duties
Most teams do not lack a PPM schedule. They lack one that gets finished, and one that can be shown to cover the duties they actually hold. Here is how to build both at once.
