BMS integration vs facilities management software: what's the difference

"Facilities management software" and "building management system" get used loosely enough, sometimes even interchangeably, that it's worth being explicit about what each actually does — because they solve genuinely different problems, and expecting one to do the other's job is a common source of disappointment during a software evaluation.

What a BMS actually does

A building management system controls and monitors live plant behaviour — heating, ventilation, lighting, sometimes access control — adjusting operation in real time based on sensors and schedules. It's fundamentally about the building's physical systems and how they behave right now, moment to moment, largely automated once configured.

What facilities management software actually does

Facilities management software manages the people and process side sitting around those physical systems: the asset register, planned maintenance scheduling, reactive work orders, statutory inspection tracking, and contractor management. It's not concerned with live plant telemetry — it's concerned with whether the plant gets serviced on schedule, whether a fault gets logged and fixed, and whether the required inspections are being run and evidenced.

That's a genuinely useful integration where both systems exist and support it — but it's an enhancement on top of two separate tools doing two separate jobs, not evidence that one tool should simply absorb the other's function.

Worth being clear about upfront: a facilities compliance platform focused on scheduling, statutory tracking and work orders generally isn't trying to be a BMS, and evaluating it as though it should control live plant behaviour is judging it against a job it was never meant to do — the same way PPM software shouldn't be judged on live telemetry it was never designed to provide.
